Conference Registration Services
MP Associates, www.mpassociates.com, has a robust and flexible conference registration services that can register all of your attendees including: conference attendees, exhibitors, exhibit only attendees, press, guests, and any other categories you might require. The registration system can provide all the capabilities and features including the capability for registrants to return to the system log-in and add items without re-entering demographic information. If you have a membership program that includes discounted registration, we can verify membership numbers in the registration database for accuracy if you provide us with a database of all members. MP Associates is PCI compliant which has been certified by ScanAlert, a Site Data Protection (SDP) compliant scanning vendor.
In addition, the registration system sends an electronic receipt immediately after registering with a bar code allowing participants to scan the bar code on-site and generates a badge immediately. This is part of the advance registration will-call which eliminates the need to print badges in advance. If a participant forgets their barcode they can be looked up by last name. By matching their ID to their name the badge prints immediately. We used this system in San Francisco in 2006, and 2,000 advance registered people picked up their badges on the first day and there was never a line. MPA has used this system since 2006 and it continues to impress our customers by getting attendees to the exhibit floor and meetings faster than at any other event. MPA has been using self registration for four years now, which has eliminated lines by providing the correct amount of workstations.
The registration system produces a smart card type of badge called a SECURbCard which can hold up to 800 characters. This gives exhibitors access to 4 times more data than magnetic stripe or bar coded badges. The lead retrieval devices provide exhibitors with leads on paper and electronically. Exhibitors can access a secure database and retrieve their leads by internet since the leads are transferred instantly using cell phone technology. The badges store all access information on the card eliminating tickets. By tapping the badge with a PDA the room monitors know if the attendee has access to a controlled workshop or tutorial. People distributing CD-ROMs know if a person is eligible by tapping the badge with their PDA. In addition, this also controls access to any party or event you may require.
MPA can print badges with pictures of the attendees to help eliminate badge sharing. Cameras would be set up at the printer to take the attendees picture and then a clerk would print the badge. The only additional cost to do this would be the $200.00 for each camera. If badge sharing is not a problem at your event, we would not recommend this because it does slow down the registration process.
MP Associates has custom registration reporting. Reports can be scheduled to be sent by e-mail at any time interval you require: monthly, weekly, or hourly allowing you to know everyone that is registered. Financial reports are also available by category and event with totals for each and grand totals.
A report can be customized to send to the housing bureau for them to verify any attendees that have registered for hotels and are not included in the housing block. MP Associates does not provide Housing Bureau services, since we usually use the housing service provided by the cities convention and visitors bureau.
